Use this worksheet before choosing an AI tool or starting development. Bring together the person who does the task, someone who understands the information involved and the person who will own the pilot.
Describe one useful task
Write down the task in everyday language. Include who needs help, how the work happens today and where time or quality is lost. If the team cannot describe the task clearly, spend more time understanding it before discussing software.
Agree the checks before the build
Choose examples that represent real work and define what a good result should look like. Include cases where the tool should ask for help. Record who reviews answers, how mistakes are handled and what access the pilot is allowed to use.
- What information may the pilot use, and who has approved that use?
- What must remain under human control?
- How will you compare the pilot with the current process?
- What setup, review and running costs should be included?
- Who decides whether to continue, change direction or stop?
Keep it as a working document
Download the CSV to your preferred spreadsheet tool. Record decisions and unresolved questions together. Return to it during the pilot so the team can compare what it hoped to learn with what actually happened.
